Privacy notice

This notice explains how the person or organisation operating Guerreiro Grappling processes personal information in accordance with South Africa's Protection of Personal Information Act 4 of 2013 (POPIA). It applies to this website and to enquiries made through the academy's published contact channels.

Information we may process

  • Contact details you provide, such as your name, email address and telephone number.
  • Your chosen programme, training interests, enquiry message and communications with the academy.
  • Information required to arrange classes, memberships, private coaching or junior participation.
  • Application information, including date of birth, address, emergency contact, relevant medical or injury information, and recorded waiver decision.
  • Technical information produced when the website is used, such as IP address, device/browser information and tag or analytics events where those services are enabled.

The joining application specifically requests health information needed to support safer participation. Please do not include medical or other sensitive information in a general website enquiry.

Why information is used

Personal information may be used to answer enquiries, arrange trial classes or coaching, administer memberships and attendance, communicate relevant service information, protect participants and the academy, comply with legal duties, and maintain website security and performance. Information will not be used for an unrelated purpose without a lawful basis and any notice or consent POPIA requires.

How long enquiries are kept

Specify the actual retention period or documented retention rule for unsuccessful enquiries, successful enquiries that become member records, and messages received through email or WhatsApp.

Under section 14 of POPIA, records must not be kept longer than necessary for their purpose unless continued retention is authorised by law, reasonably required for a lawful function, required by contract, or consented to. When retention is no longer authorised, information must be securely deleted, destroyed or de-identified as soon as reasonably practicable.

Junior students and consent

POPIA places additional restrictions on processing children's personal information. Where required, the academy must obtain consent from a competent person, such as a parent or guardian, or rely on another lawful authorisation before processing that information.

Confirm whether each document exists in writing, when it is signed, where it is stored and how long it is retained. An indemnity does not replace the consent or notice required for processing personal information.

Sharing, service providers and security

Information may be handled by service providers that support email delivery, communications, website hosting, analytics, maps or content management, but only to the extent needed for their services and subject to appropriate safeguards. Website applications are sent to the academy through Resend once email delivery is configured. This website may load Google Tag Manager and an embedded Google Map and links to WhatsApp and social platforms; those providers process information under their own notices when their services are used.

The responsible party must use appropriate, reasonable technical and organisational measures to protect personal information. If a provider processes information outside South Africa, the responsible party must ensure that the transfer meets section 72 of POPIA.

Your rights

Subject to POPIA, you may ask whether your personal information is held, request access to it, request correction or deletion, object to certain processing, withdraw consent where processing depends on consent, and complain about unlawful processing.
